CRM System in Malaysia: Off-the-Shelf or Custom-Built?

For owners and sales or operations heads at Malaysian companies: how to choose a CRM, and when shakalakaa builds one.

Quick answer

An off-the-shelf CRM fits most companies whose sales follow a standard email-and-phone pipeline. A custom build pays when sales run through WhatsApp, several brands or branches share one pipeline, or you want to own the code. shakalakaa builds custom CRMs with WhatsApp capture and handover between an AI agent and a salesperson.

Off-the-shelf vs custom: how to decide

Most companies comparing a CRM system Malaysia vendors sell should start with an off-the-shelf product. It costs less to start, launches sooner, and the vendor carries the maintenance. A custom build only earns its cost once the packaged option runs out of road.

Question Points to off-the-shelf Points to custom-built
Team size One sales team working one way Several teams, brands or branches with their own stages
Sales motion Email and phone, with meetings booked from the CRM WhatsApp-first: enquiries, follow-up and quotes happen in chat
Lead sources A web form and a few lists Meta lead ads, the website, landing pages and direct messages, each needing its source recorded
Reporting The vendor's standard pipeline reports are enough You need response times, drop reasons and cost per lead by source in one view
Data and code You are content to rent the software and export your data You want the source code, database and hosting in your own name

If an off-the-shelf tool already covers what you actually need, a custom build is the wrong answer, and we will say so before proposing one.

What Malaysian companies check before choosing

  • PDPA (Act 709). A CRM holds personal data, so the Personal Data Protection Act applies to how it is collected, used, kept and deleted. Since the 2024 amendment, a breach must be reported to the Commissioner within 72 hours, and controllers above set thresholds must appoint a Data Protection Officer. Our PDPA Malaysia guide sets out the obligations.
  • Where the data is hosted. Ask where the vendor stores your records. The 2024 amendment replaced the old whitelist of approved countries with a test of whether the destination gives adequate protection, so a transfer outside Malaysia needs a documented assessment.
  • WhatsApp handover. If your customers reply on WhatsApp, check how the CRM connects to the official WhatsApp Business Platform: whether a reply updates the record without re-typing, how a chat passes from an automated agent to a person, and how it tracks the 24-hour messaging window.
  • Lead source back to the ads. The CRM should record which campaign each lead came from, so cost per qualified lead can be read by channel. That is the reporting our performance marketing work depends on.
  • User roles across branches. Check that each branch or brand sees only its own leads, that managers see across them, and that access is removed when staff leave.

The common platforms: CRM software Malaysia companies shortlist

These are the CRM platforms Malaysian companies most often compare, described in each vendor's own words from its Malaysian or regional site. We list them so you can check each against the questions above; we have no partnership with any of them.

Platform What the vendor's own site says it is for Source (URL, read 11 October 2026)
Zoho CRM A sales CRM platform for businesses of all kinds and sizes, from small teams to enterprises. zoho.com/crm (opens in a new tab)
HubSpot A CRM that brings a business's customer data together in one platform. hubspot.com/products/crm (opens in a new tab)
Salesforce Sales Cloud A CRM platform that helps sales teams manage their sales process, for companies of all sizes and sectors. salesforce.com/ap/sales (opens in a new tab)
Microsoft Dynamics 365 Sales A CRM platform to help sales teams close deals and work more productively, for sales leaders, sellers, managers and sales operations staff. microsoft.com/en-my/dynamics-365/products/sales (opens in a new tab)
Sage CRM A CRM with sales, marketing and service modules, offered to businesses already using a Sage solution. sage.com/en-sg/products/sage-crm (opens in a new tab)
SecondCRM CRM software for businesses across Asia, serving small, medium and large customers. secondcrm.com (opens in a new tab)

Features, plans and hosting options change, so confirm them with each vendor before you decide. We do not quote vendor prices here.

When a custom build makes sense

  • WhatsApp-led sales teams. A generic CRM logs a contact. A CRM built around your sales process logs the enquiry, routes it to the right person, and lets a WhatsApp reply update the record without anyone re-typing it.
  • Multi-brand or multi-branch pipelines. When each brand or branch sells differently, pipeline stages can match how each team actually sells instead of one template for all.
  • Qualifying leads from ads. Capture the lead with its source recorded, qualify it, and report response times and why deals drop, so the ad budget follows the leads that close.
  • Owning the code. Custom software we build is the client's asset: source code, database and hosting access are handed over, not licensed back to us.

How we build one

A custom CRM project with us starts from your current pipeline, not a template, and ends with documentation your team can own. We run our own enquiries on a lead-management system we built and operate, so we know the build from the user's side.

  1. Document how the sales workflow runs today, including the workarounds, before designing what replaces it.
  2. Confirm no off-the-shelf CRM already solves it before committing to a custom build.
  3. Build against your actual process: pipeline stages, WhatsApp capture with the lead source recorded, handover between an AI agent and a salesperson, quotes sent from the record, and reporting on response times and drop reasons.
  4. Hand over the code, database and hosting access. It is your asset, not a licence we hold over you.
  5. Support after launch catches real-world issues; ongoing maintenance continues on retainer if you want it.

Data handling, storage and access controls are built to PDPA requirements from the start. See our custom software service for booking systems and the rest of the systems practice.

FAQ

Frequently Asked Questions

Should a Malaysian company buy a CRM or have one built?

Buy one first if your sales follow a standard email-and-phone pipeline: it costs less to start and the vendor maintains it. A custom build pays when sales run through WhatsApp, several brands or branches share one pipeline, or you need to own the code and data.

Does a CRM in Malaysia need to comply with PDPA?

Yes. A CRM holds personal data, so the Personal Data Protection Act 2010 (Act 709) applies. Since the 2024 amendment, breaches must be reported to the Commissioner within 72 hours, and controllers above set thresholds must appoint a Data Protection Officer.

Can a CRM work with WhatsApp?

Yes, through the official WhatsApp Business Platform. Check whether a reply updates the record without re-typing, how a chat passes from an automated agent to a person, and how the 24-hour messaging window is tracked.

Do you sell or resell a CRM product?

No. We do not sell, license or resell a CRM product. We build custom CRMs for companies whose process no packaged CRM fits, and we tell you when an off-the-shelf CRM already does the job.

Who owns a custom CRM once it is built?

You do. Source code, database and hosting access are handed over to you, not licensed back to us.
