Agree what "qualified" means before launch
Most lead funnels fail in a meeting, not in the ad account. Marketing counts form fills; sales counts people worth calling. Before a campaign starts, write down with the sales lead what makes a lead qualified: budget range, timeline, location, decision role, or the specific product they asked about.
That definition becomes the target the campaign optimises to, and the number both teams report.
Qualify on the form without killing volume
Every question on a form costs some leads and removes some bad ones. The trade is worth it when the question separates buyers from browsers: budget band for property, asset range for wealth advisory, intake date for education. Keep it to two or three questions, use multiple choice rather than free text, and put the hardest question last.
A dedicated landing page usually qualifies better than an instant form, because the visitor reads the offer before they apply.
Send lead quality back to the ad platforms
Ad platforms optimise to the event you give them. If that event is a form submission, they find people who fill forms. If it is a qualified lead or a booked meeting, they learn to find people who become one.
The Meta Conversions API and offline conversion imports close that loop: when sales marks a lead as qualified in the CRM, the event goes back to Meta or Google. See offline conversion imports for WhatsApp leads for how it works with WhatsApp.
Reply in minutes
A lead cools fast. Route new leads straight to the right salesperson, send an immediate WhatsApp acknowledgement, and track time to first reply. A funnel that produces good leads and answers them the next day is paying for leads it loses.
