What marketing automation actually is
Marketing automation is software that runs repeatable marketing steps without someone doing each one by hand: sending the right message when a lead arrives, moving a contact to the next stage, alerting a salesperson, updating a report.
The platform matters less than the workflows. A company with three well-built workflows gets more from a basic tool than one with an expensive platform and nothing switched on.
The five workflows to build first
- Instant acknowledgement. Every new lead gets a WhatsApp or email reply within a minute, confirming the enquiry and setting expectations.
- Routing. Leads go to the right person or outlet automatically, by product, location or size, with an alert.
- Follow-up sequences. Leads that do not book or reply get a short, useful sequence rather than silence.
- CRM and ad-platform sync. Lead status in the CRM flows back to Meta and Google as conversion events, so the ads learn which leads become customers.
- Reporting. Cost per qualified lead, response time and conversion by source, updated automatically.
Why the first hour matters most
Most lead loss happens before anyone replies. An enquiry that gets an instant acknowledgement and a call the same hour behaves very differently from one that waits until tomorrow. That is why the first two workflows usually pay for the whole project.
WhatsApp is the Malaysian default
Malaysian customers answer WhatsApp faster than email, so most first-hour workflows run there. For sending at scale, companies use the WhatsApp Business Platform rather than the phone app; see WhatsApp broadcast for business and CRM with WhatsApp.
PDPA duties do not go away
Automation sends more messages, faster, so consent and opt-outs matter more. Record how each contact opted in, give a way to stop in every marketing message, and make an opt-out reach every system that sends. See our PDPA guide for Malaysian businesses.
How to measure it
| Measure | What it tells you |
|---|---|
| Time to first reply | Whether the first-hour workflows work |
| Lead-to-booking rate | Whether follow-up is converting |
| Cost per qualified lead | Whether the ads are learning from CRM data |
| Opt-out rate | Whether messages are wanted |
